<title><![CDATA[Secretary III Endocrinology - (Saint Agnes Hospital, Maryland)]]></title>
<description><![CDATA[High School Diploma/GED <br><br/> <br><br/> Minimum of 5 years healthcare experience <br><br/> <br><br/> Typing Speed of 40 WPM <br><br/> <br><br/> SUMMARY: The Secretary III supports and assists the Director, management and departmental staff to achieve the goals of the Department. Responsibilities include timely completion of departmental clerical duties; scheduling and transcribing minutes from committee and ad hoc meetings; distributing meeting materials and maintaining records for these committees, and tracking data and report submissions to the Department. <br/><br/>The incumbent will work closely with all physicians and department of medicine staff to ensure services are being billed timely and will monitor the billing entities performance to ensure optimal reimbursement. The Secretary III monitors all front end processes to ensure compliance with departmental and hospital policies. <br/><br/>The Secretary III will also assist in the development of presentation materials and graphs of data. <br/><br/>Carries out responsibilities in accordance with Ascension Health Core Values, St. Agnes policies/procedures and applicable civil laws. Is accountable for efficient use of resources and support of the St. Agnes mission. <br/><br/>Essential Functions: <br/><br/>- Timely completion of various departmental clerical duties such as filing, obtaining medical records, correspondence, typing, answering the phone (taking messages and screening calls), scheduling meetings (including coordinating room location and arrangements), and copying and distributing reports. Picks-up and delivers Departmental mail from the hospital mailroom and from other hospital offices or departments. <br/><br/>- Distributes agendas and minutes and organizes and distributes meeting materials for specified within the expected timeframes. <br/><br/>- Distributes monthly reports, maintains the database, and tracks the receipt of responses. Tracks reports submitted to the Council. Assists in follow-up of outstanding reports. <br/><br/>- Monthly and as-needed maintenance, ordering and stocking of supplies for the Department from Staples, the Store Room, the Print Shop, and other outside vendors. <br/><br/>- Prints periodic reports from designated websites, such as the Ascension Health Exchange, JCAHO, and Maryland Health Care Commission; makes and distributes copies according to an established schedule. <br/><br/>- Maintains the calendar of events; coordinates room location and arrangements for Food Services and Housekeeping Services as needed. Assists to prepare and distributes newsletters for patient safety and JCAHO readiness. <br/><br/>- Assists in the preparation for and participates in special departmental events. <br/><br/>- Maintains the Policy and Procedure Manual for the Department. <br/><br/>- Alternate contact point for practice management issues and business development for employed and contracted physicians within department. <br/><br/>- Alternate administration support person to Chair of Department of Medicine. <br/><br/>- Assists in coverage for daily office operations while support staff go on vacation or emergency call outs. <br/><br/>- Other job duties as assigned and directed by the chair. <br/><br/>Required Education: High School Diploma <br/><br/>Preferred Education: Degree in business/healthcare administration or related field. <br/><br/>Preferred License, Certification and/or Registration: N/A <br/><br/>Required Experience: Five (5) years clerical or secretarial experience working in a healthcare practice or outpatient setting. The Secretary II also possesses a wide range of knowledge and judgment regarding policies and protocols and applies that knowledge to ensure the smooth flow of information to and from the department. <br/><br/>The Secretary II uses independent judgment to coordinate and complete clerical details of the department including organization of processes and information necessary for patient care within the department. <br/><br/>The Secretary II may assist in teaching clerical staff and volunteers. This position exercises good judgment in decisions associated with coordination of staff and physician efforts to provide appropriate patient care. <br/><br/>Frequent communication outside of the work group is required to resolve disagreements, reach agreements and clarify issues/processes. Responsibility exists to ensure that internal customers are satisfied with service.
